Our Privacy Notice mostly is based on the terms used in the GDPR, for ease of understanding the following definitions apply:

  • "DPA" means Data Protection Authority
  • "DPO" means Data Protection Officer
  • "Personal Data" means any information relating to an identified or identifiable living natural person (also referred to as ´data subject´).

The Portal specific definitions:

  • "Portal" and "Knowledge Sharing Portal" means the Knowledge Repository Portal run by InsightZ.io and developed by Brewery of Ideas for the EUDCN
  • "Profile" means account.
  • "EUDCN," "We" and "Us" means the European Data Compliance Network.
  • "Registered User" means a person who has created a registered account in the Portal.
  • "Non-Registered User" means a person who uses the Portal without creating an account.
  • "Partner" means a legal entity registered on the Portal and providing content to the Portal.
  • "Speaker" means a natural person registered on the Portal and providing content to the Portal.

2. ABOUT THIS PRIVACY NOTICE

The EUDCN is committed to respecting and protecting the privacy and security of your personal data. We have created this privacy notice as the controller of personal data for visitors to the EUDCN InsightZ.io knowledge sharing Portal. It describes how we collect and use your personal information when you are using the Portal.

Please note that this privacy statement is specifically for our Portal EUDCN InsightZ.io. If you visit any other website by clicking a link on this platform, it is recommended that you also review their privacy rules.

3. WHO WE ARE?

Founded in October 2023, the European Data Compliance Network (EUDCN) is a not-for-profit organization. Our Mission is to empower professionals to achieve compliance excellence for their organizations and to educate individuals to take control of their personal data and their digital lives.

EUDCN is the "Data Controller" within the meaning of GDPR and we are responsible for deciding how we collect, store, use and process personal information about you.

We are running this Knowledge Sharing Portal in a separate highly secured tenant environment on top of a third-party solution, where InsightZ.io is a technical solution and Brewery of Ideas is the third-party provider of this solution.

The EUDCN InsightZ.io portal is a platform for companies and individuals to come together to discuss data protection issues, share experiences, and learn how to build a world where people are in control of their personal data.

4. WHAT PERSONAL DATA DO WE PROCESS?

The Personal Data that we collect and how we collect it, depends upon how you interact with us through the portal, as we shall only collect the relevant personal data for each purpose.

Customer Data that includes data relating to registering your account with the Portal:

  • your name your first and last name that will be used to address you during the contact
  • password - it is to secure confidentiality and access to your account. We store passwords in a secure way and
  • email address (it will be used as a username during login process and for all the communication regarding EUDCN knowledge sharing portal going forward. When you login using your LinkedIn account, we collect information such as your name, email address and avatar).

We process this data to operate our Portal and ensure relevant content is provided to you. Our lawful ground for this processing is our legitimate interests which in this case are to enable us to properly administer the Portal.

User Data that includes:

  • likes of videos/publications on the Portal,
  • feedback about the Portal
  • answers if you participate in our surveys about portal and events
  • interests you selected

We process this data to operate our Portal and ensure relevant content is provided to you. Our lawful ground for this processing is our legitimate interests which in this case are to enable us to properly administer the Portal.

Communication Data that includes any communication that you send to us whether that be through the contact form on our portal, through email, social media posting or any other communication that you send us.

We process this data for the purposes of communicating with you, for record keeping and for the establishment, pursuance, or defence of legal claims. Our lawful ground for this processing is our legitimate interests which in this case are to reply to communications sent to us, to keep records and to establish, pursue or defend legal claims.

Technical Data that includes data about your use of the Portal such as:

  • your IP address,
  • your login data,
  • details about your browser,
  • length of visit to pages on our website,
  • page views and navigation paths,
  • details about the number of times you use our website,
  • time zone settings and
  • other technology on the devices you use to access our website.

The source of this data is from our analytics tracking system.

We process this data to analyze your use of the Portal, to ensure the security of our Portal, to deliver relevant website content and notifications to you and to understand the effectiveness of our actions.

Our lawful ground for this processing is our legitimate interests which in this case are to enable us to properly administer our Portal.

5. HOW DO WE USE YOUR PERSONAL DATA?

We use your personal data for the following purposes:

  • To provide you with access to the Portal and its features
  • To improve the Portal and provide you with a better experience
  • To communicate with you about the Portal and our services
  • To protect the security of the Portal and its users
  • To comply with applicable laws and regulations.

Thus, the main purpose of collecting and processing Customer data is to provide you with full access to knowledge sharing portal functionalities on your request when you register an account. Some of these functionalities:

  • Live event participation
  • Monthly newsletter
  • Notifications on new publications
  • Posting questions on the Portal
  • Developing personalized views based on your preferences.
  • Access to content available for Registered Users only

Without registration you are free to browse the content of the knowledge sharing portal that is available for Non-registered users.

We are not going to use your information for any direct marketing purposes.

We will communicate with registered users by email only if we have their consent to receive:

  • weekly updates on new publications on the Portal,
  • reminders on the events they are attending (1 week and 1 day in advance to the event, also on the day of the event),
  • notifications if their questions on the Portal have been answered and/or
  • monthly digest.

All Registered users can change their preferences any time in "My notifications" sections in their accounts.

6. SHARING OF PERSONAL DATA

We handle your personal information with care and refrain from disclosing it to external parties unless we are legally obliged to do so.

7. TRANSFER OF PERSONAL DATA OUTSIDE THE EEA

We do not transfer any of your personal data outside the EEA, and data stored in InsightZ.io data centers are in Ireland.

8. RETENTION OF PERSONAL DATA

Our data retention criteria are based on the statutory retention periods necessary to fulfill our legal obligations. After the end of those periods, your personal data will be securely deleted if it is no longer necessary for the fulfillment of a contract, the initiation of a contract, or in relation to any legal proceedings. We may keep anonymized data for statistical and research purposes.

9. PROFILING AND AUTOMATED DECISION MAKING

We do not carry out automated decision making or any type of automated profiling.

10. YOUR RIGHTS UNDER DATA PROTECTION LAW

Under the GDPR, you have rights in relation to your personal data that we hold, please note that these rights are not absolute and may have some restrictions:

  • Access: the right to receive a copy of the personal data that we hold about you, together with other information about our processing of that personal data.
  • Rectification: the right to request that any inaccurate data that is held about you is corrected, or if we have incomplete information, you may request that we update the information such that it is complete.
  • Objection: the right to object to our use of your personal data or the way in which we process it for certain purposes.
  • Restriction of Processing: the right, in certain circumstances, to request that we no longer process your personal data for particular purposes. (This just means you can ask us to stop using it for the reasons we have been using it.) This may mean that we have to delete your account.
  • Erasure: the right, in certain circumstances, to request that we erase your personal data.
  • Data Portability: the right, in certain circumstances, to transfer your personal data to another organization where it is technically possible.
  • Review Automated Decisions: the right to object to automated decision making and/or profiling.
  • Withdraw your consent: In case of data processing based on your consent, you have a right to withdraw your consent on the Portal.
  • Lodge a complaint: If you are not satisfied with EUDCN’s replies to your data requests, you have a right to lodge a complaint with the competent supervisory authority.
